The client we worked with is a family-owned investment company that helps to preserve family legacies by managing their financial, personal, and philanthropic affairs. Having used Dynamics NAV since 2016, the company only utilized 20% of its functionality due to the limited end-user training provided by their previous Dynamics partner.


The company's Director for Finance and Administration, shared, “We stumbled around Dynamics NAV and figured it out most by ourselves. The previous vendor provided no training platform, and we were only using about 20% of NAV’s functionalities. We didn’t know what we were getting or what we were missing, but it was frustrating because we had this system that we knew could do a lot more, but we just didn’t know how to tap into it”.


“NAV 2016 was also getting a bit rusty. We knew it had already reached its end of life, so we wanted to manage the risks and improve our team’s productivity by moving to a more robust and secure cloud-based ERP system”, continued the client.


Successful transition


The client came to know Systema Solutions from a referral from one of its former consultants. Satisfied with their technical expertise and capabilities, they commissioned Systema Solutions to migrate their NAV 2016 to Microsoft Dynamics 365 Business Central. The objective is to modernize their accounting system and maximize its full potential.


Apart from the ERP migration, Systema customized some of their workflows to suit their unique business processes. Because different vendors work with their various departments, they needed a more flexible way to route invoices individually to specific approvers in their team every week.

We used to have them signed externally and then brought back into NAV which was time-consuming. But with the invoice workflow set up for us within Business Central, this process is now more seamless, and we keep everything within the system, and that’s been a huge win for us.”

“We used to deal with Adobe PDFs and Adobe Sign for our invoices, but it was labor-intensive and took a lot of time to complete. Not having to use it and making the invoice workflow just a click away within Business Central was a life-altering experience! It allowed our team to save at least an hour a week for this process alone.” - said the client's Director of Finance & Administration

Since going live, transitioning to Business Central has also enabled their teams to collaborate more seamlessly with less back and forth between team members. They also enjoy having a fast, responsive, and secure ERP system that is always available wherever their users are.


Lessons from implementing Business Central


The client iterated on the importance of providing the proper training and change management for Business Central users. Having a partner with an excellent grasp of Business Central conducting the training in their own environment made it much easier for their users to understand their new ERP system.


They also recommended sitting down and discussing what different things you can do with Business Central with your Dynamics partner to know what options are available out there. They shared the significance of doing short monthly training sessions with Business Central experts from Systema Solutions. “There is so much in the system that you can’t cover in a day or a week. But dedicating at least 2-3 hours a month for training with Business Central experts at Systema Solutions helps us to tell what these new features are and how we could use it in the future”, said the client's Director for Finance and Administration.

Looking ahead


With just a few months into Business Central, this client sees further adoption into its new ERP system by setting up its Intercompany module in such a way that it will automatically flow through the invoice to the next company. That way, their users won’t have to attach it to the second company and email back and forth, thereby realizing further efficiency gains and time savings for their company.
